Position Overview
The Coordinator/Manager of Internal Operations ensures the daily operations of Women Leaders in Sports run smoothly and efficiently. This role provides essential administrative, office, HR, and operational support that keeps our team organized and functioning at a high level.
The ideal candidate is a taskmaster with excellent attention to detail, a proactive work ethic, and the ability to anticipate needs before they arise. This role is ideal for someone who enjoys being the operational backbone of a team and thrives in a collaborative, high-energy environment.
This position is an in-office role and does not offer remote flexibility. It is expected that this person will be in the office 4-5 days a week.
Key Responsibilities
Office Operations and Management
- Manage day-to-day office operations, including supplies, mailings, workspace organization, technology coordination, and vendor communication.
- Ensure a professional, welcoming, and efficient office environment for staff and visitors.
- Maintain office systems, equipment, and inventory.
HR & Staff Support
- Assist with onboarding and offboarding processes (equipment setup, system access, orientation logistics).
- Maintain HR records, staff files, and organizational documents.
- Support staff engagement activities, internal communications, and culture-related activities.
- Coordinate recruiting/hiring logistics and candidate scheduling as needed.
Business Operations Support
- Help manage internal workflows and timelines for annual business operations
- Oversee invoice processing and tracking, check logs, credit card reconciliation, budget tracking, and operational documentation.
- Coordinate with vendors and service providers for smooth operational functioning.
- Identify basic process improvements and help implement more efficient systems.
Administrative Support
- Provide administrative support to the CEO and executive team, including scheduling, meeting logistics, travel arrangements, document prep, and expense coordination.
- Prepare agendas, organize materials, and assist with follow-up tasks.
Special Projects
- Contribute to internal projects and team initiatives as assigned (event prep, database cleanup, research, administrative tasks, etc.).
- Serve as a flexible, reliable teammate to support organizational needs during busy periods or major events.
Required Qualifications
- 2+ years in operations, office management, administrative support, HR support, or similar roles.
- A passion for women’s leadership and career advancement.
- An optimist who sees challenges as opportunities and believes everything is “figure-out-able”.
- Demonstrated success operating independently as well as be part of a team, and ability to balance multiple priorities.
- An overcommunicator who knows how to close the loop and thrives in a role that requires high levels of collaboration and interaction with other people.
- An ability to flex and pivot across several projects that require different ways of thinking and working
- Strong organizational skills and high attention to detail.
- Ability to manage multiple tasks simultaneously in a fast-paced environment (and we mean FAST!)
- Proactive mindset — sees what’s needed before being asked.
- Excellent communication and interpersonal skills.
- Project coordination and management experience.
- Experience supporting a staff and/or working in a small, high-performing office environment.
- Experience with productivity tools (Microsoft Office, Zoom, Monday, project management platforms, CRMs).

Compensation: Commensurate with experience; benefits package including medical, dental, and vision insurance. 401k with employer match.
