The Atlantic Sun Conference (ASUN) is accepting applications for the position of Executive Assistant to the Commissioner. Founded in 1978, the ASUN is an NCAA Division I Athletic Conference headquartered in Jacksonville, Florida, that includes twelve (12) full member institutions situated across seven (7) states in the southeast region of the U.S. With over 20 million homes within its footprint, ASUN institutions are collectively on the rise, seeing record enrollment numbers and population growth while representing several of the largest markets and most popular destinations in the country.
The Executive Assistant to the Commissioner plays a pivotal role in supporting the Commissioner and the Atlantic Sun Conference’s executive operations. This position is responsible for high-level administrative support, coordination of key events, and assisting with operational functions to ensure efficiency within the conference office. The role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Primary Responsibilities:
Executive Support
Provide primary administrative support for the Commissioner, managing calendars, scheduling meetings, and coordinating travel arrangements.
Assist the Commissioner with special projects, research, and strategic initiatives as assigned.
Prepare reports, presentations, and correspondence on behalf of the Commissioner.
Act as a liaison between the Commissioner and internal/external stakeholders, maintaining professionalism and confidentiality.
Staff Coordination
Assist with the onboarding process for new employees and offboarding procedures for departing staff.
Support internal communication efforts to ensure alignment among executive staff and conference personnel.
Meetings & Events
Plan and execute key ASUN events, including the Fall and Spring Meetings and the ASUN Hall of Fame Banquet.
Develop and maintain meeting agenda templates.
Manage the ASUN Annual Calendar of Events, ensuring timely scheduling and execution in collaboration with appropriate staff.
Business Operations
Assist the CFO with daily banking, invoicing, and financial reconciliation.
Manage ASUN’s corporate credit cards, hotel partnerships, and rental car programs.
Ensure compliance with ASUN travel policies.
Office Operations
Oversee the management of hardware and software inventory, licenses, and IT-related assets.
Maintain ASUN contracts.
Handle incoming and outgoing mail, shipments, and coordinate office building maintenance.
Provide operational support to maintain an efficient and organized work environment.
Other
Perform other duties and special projects as assigned by the Commissioner to support the overall success of the Atlantic Sun Conference.
Preferred qualifications for this position include:
A Bachelor’s and/or advanced degree.
Experience in intercollegiate athletics.
Strong background in executive administration, operations, or event management.
Exceptional organizational and communication skills, with attention to detail.
Ability to manage multiple projects simultaneously in a fast-paced environment.
Experience handling financial transactions, budgeting, and vendor management.
Proficiency in Google Workspace, Artificial Intelligence (AI) platforms, and event planning tools.
Commitment to maintaining confidentiality and professionalism in all interactions.
Ability to relocate to Jacksonville, Florida.

Compensation & Benefits:
A compensation package for the selected candidate will include a base salary commensurate with experience and Atlantic Sun Conference Staff salary ranges. Benefits include annual vacation and leave, medical and dental insurance, retirement matching, and other benefits in accordance with Atlantic Sun Conference policy.
The Atlantic Sun Conference offices operate on a 5-day work week, allowing all staff to select one weekday (limited to Monday or Friday) to work remotely from home each week. Due to the nature of collegiate athletics, all full-time staff are expected to occasionally travel and be available during nights and weekends if necessary.
