The American Conference is accepting applications for the position of Assistant Director of Business and Office Operations. The position reports directly to the Chief Financial Officer.
THE ROLE AND CANDIDATE PROFILE
The American Conference Assistant Director of Business and Office Operations provides daily financial and administrative support to the CFO and Director of Business Affairs regarding all aspects of the Conference office’s business, financial, contractual, and technology operations. The position is also responsible for office management functions, liaison with Information technology partners, and assists with planning and executing meetings and events.
The successful candidate must be well adept at multi-tasking, maintain confidentiality and serve as an ambassador for the Conference. This position requires diplomacy, professionalism, and flexibility with a positive attitude. The successful candidate must be an initiative-taking self-starter and show demonstrated ability to manage financial and business operations. Position will require some work at night and on weekends.
EDUCATION, EXPERIENCE AND COMPETENCIES
Bachelor's degree plus minimum of five (5) years of experience, or equivalent combination of education and experience in an academic/athletic business office setting required. Master’s Degree preferred.
Excellent organizational, financial reporting, and time management skills.
Excellent oral and written communication skills.
Exception skills with Microsoft Office applications and other standard business software applications

SPECIFIC AREAS OF RESPONSIBILITY AND EXAMPLES OF DUTIES
§ Assist with day-to-day business operations processes including accounts payable and receivable, procurement, and travel policy administration.
§ Assist with development of the annual operating budget, revenue projections, and distributions. Develop and maintain budget presentation and financial reporting documents.
§ Produce event-specific (e.g. championship and bowl) settlements and assist with championship reconciliations.
§ Produce ad-hoc financial and budget reports, expense analysis, and distribution forecasts.
§ Coordinate research and data projects, including financial related surveys for the membership.
§ Assist the Director of Business Affairs with various software data entry programs, credit card reconciliations, and payments
§ Update and maintain administration network files, institutional contact directories and staff listings for national directories.
§ Serve as primary liaison with the office’s information technology partner and manage all aspects of Conference office communication and technology needs.
§ Primary liaison with Conference’s password protected website used for the distribution of membership meeting materials.
§ Update and maintain Conference Policy Manuals.
§ Ensure a well-maintained office environment. Serve as the Office Manager and liaison with the Building Management team and other external vendors, order office and break room supplies, office equipment, oversee retailers associated with printing, office mailing, shipping, and shredding.
§ Maintain computer equipment inventory for the Conference and coordinate employee requests and upgrades.
§ Assist with coordination of meeting sites, hotel accommodations, hospitality and other event details for primary Conference Meetings and other governance, collaborative and operational meetings, and special events.
§ Maintain knowledge of applicable policies and procedures of the conference, NCAA, as well as local, state, and federal financial and tax reporting requirements.
§ Actively assess business processes and procedures and assist with process improvement initiatives.
§ Provide support for conference travel programs, policies, and procedures
§ Provide continuous support to achieve strategic financial goals and objectives.
§ Assist with other duties as assigned.
